As part of our commitment to compliance and transparency, we are obligated to collect and retain identification and proof of address for all our customers. Additionally, we are required to identify any beneficial owners involved in the transaction or activity. To facilitate this process, we kindly request that you provide information about anyone you consider to be a beneficial owner. In some cases, we may also need to enquire about the source or destination of funds.

Below is a comprehensive list of acceptable identity documents that we may request based on your individual circumstances. We will guide you accordingly to ensure a smooth and efficient process:

Individual Identity documents

To establish your identity, we require one document from List A and one from List B.

LIST A - Identity document

  • Current signed passport
  • Valid UK driving licence
  • EEA member state identity card

LIST B - Proof of Address

  • UK/EU/EEA Driver's Licence (if not used as ID) - must be valid and not expired, with a photo.
  • Bank, Building Society, or Credit Union Statement - dated within 3 months, displaying the account number and recent activity.
  • Credit Card Statement - dated within 3 months, showing the account number and recent activity.
  • UK, EU, EEA Mortgage Statement - dated within 12 months, indicating the account number.
  • Utility Bill - dated within 6 months (e.g., Gas, electricity, water), showing the address for service and/or account number.
  • Telephone Bill - dated within 6 months (e.g., Landline or mobile pay monthly, excluding pay as you go), indicating the address for service and/or account number.
  • Council Tax - dated within 12 months, showing the address for service and/or account number.
  • Tenancy Agreement - dated within 12 months, stating full name and full property address, issued by a reputable letting agent, local council, housing association, or solicitor.
  • Benefits Entitlement Letter - dated within 12 months, issued by DWP or Jobcentre plus, confirming the benefit payable.
  • HMRC Tax Notification - dated within 6 months, stating the national insurance number and tax calculation.
  • Home or Motor Insurance Certificate - dated within 12 months, stating the insured address or registered address for the vehicle and policy number.
  • UK Solicitor's Letter Confirming House Purchase/Land Registration - dated within 3 months, stating the full name of the new proprietor and full property address.
  • NHS Medical Card or Letter from GP Confirming Registration - dated within 3 months, indicating the individual's date of birth and NHS number.
  • Official Confirmation of Electoral Register Entry or Official Poll Card - dated within 12 months, stating the full name and full address.
  • Police Registration Certificate - dated within 12 months, stating the full residential address of the individual.
  • Probate - If you are representing an estate, we require the Grant of Probate (if a will was left) or Letter of Administration (if no will was left) along with individual identity evidence from List A & B for the Personal Representative (executor or administrator).

Limited Company:

If you are acting as a representative of a UK Company, we will also need the following documents:

  • Certificate of Incorporation
  • Articles of Association
  • Memorandum of Association
  • Latest Annual Return or Confirmation Statement with details of current company officers
  • If offshore, we may need a nominee director declaration and a general power of attorney.
  • Individual identity evidence from List A and B will be required for all individuals or entities holding 25% or more of the company's shares or voting rights.

Offshore Company:

If you are representing an Offshore Company, we will require:

  • Certificate of Incorporation
  • Articles of Association
  • Memorandum of Association
  • Latest Annual Return with details of current company officers
  • Share Certificate(s) showing the Ultimate Beneficial Owner OR Certificate of Incumbency

If the shares are owned by another company, we will repeat the above steps for the holding company. Moreover, nominee director declaration and/or general Power of Attorney may be necessary if applicable. Additionally, individual identity evidence from List A and B will be required for all individuals or entities holding 25% or more of the company's shares or voting rights.

Trust:

If you are representing a Trust, we will need the following documents:

  • Trust deed
  • List of trustees
  • List of beneficiaries
  • Individual identity evidence from List A & B for all individuals with a vested interest in 25% or more of the capital and/or those who exercise control over the Trust.
